Running the Club
Clearly a club such as this does not just happen! A certain amount of
effort is put in by many of the members behind the scenes and outside of the
regular Monday evening meetings. This effort is organised through a number of formal
committee posts, augmented by informal roles and activities.
The formal committee posts are
outlined below, and are open to all members of the club:

TITLE : CHAIRMAN
STATUS : Elected by club members on an annual
basis.
Ex-officio Chairman of the main
committee
ROLE :

To ensure that the legal and administrative requirements
of the Club are fulfilled through the elected and appointed post-holders of
the Club |
 |
To ensure that the Club has a viable vision of its future
and plans to achieve it. |
 |
To represent the Club as required on an official basis. |
MAIN RESPONSIBILITIES AND ACTIVITIES :
 |
To facilitate
and moderate the meetings of the Main Committee. |
 |
To appoint in
consultation with the other elected post-holders, appropriate people to fill
all the other posts required for the successful running of the Club. |
 |
To create or
approve the creation of, any other posts that may contribute to the success of
the Club. |
 |
To encourage a
spirit of warmth and friendship in true Barbershop style. |

TITLE : SECRETARY
STATUS : Elected by club members on an annual
basis.
Member of the main committee
ROLE : To maintain and operate the Club's
constitution, systems, procedures and processes.
MAIN RESPONSIBILITIES AND ACTIVITIES :
 |
To assist the Chairman and Treasurer to determine who
should be approached to act in the various functions required in running the
club. |
 |
To issue (after consultation) , agenda items for
consideration at Main committee meetings and take and distribute accurate
minutes of those meetings. |
 |
To keep records of correspondence from club members, BABS,
and other outside organisations and to respond appropriately to letters after
due consultation with the Chairman and other committee members. |
 |
To notify members of the annual general meeting, get input
for the agenda and make and distribute minutes as appropriate. |
 |
To provide an annual report to the AGM. |
 |
To act according to the club constitution in calling for
any Extraordinary meetings and to issue appropriate agenda and minutes. |
 |
To recommend to the main committee rule changes and
constitution changes to be put to the AGM or E.G.M. as appropriate. |

TITLE : TREASURER
STATUS : Elected by club members on an annual
basis.
Member of the main committee
ROLE : To maintain the financial records of the
club.
MAIN RESPONSIBILITIES AND ACTIVITIES :
 |
To provide an annual report and audit to the AGM. |
 |
To assist the Chairman and Secretary to determine who
should be approached to act in the various functions required in running the
club. |
 |
To maintain the accounts of the club in good order and
recommend to the main committee the level of subscriptions needed to operate
the club successfully. |
 |
To oversee financial discipline in how club funds are
spent. |
 |
To ensure subscriptions are collected in good time and to
inform membership secretary of any changes in list of payers. |
 |
To ensure all cheques are paid into the club bank account
promptly and all bills are paid in good time. |
 |
To present to the main committee interim accounts as
required.

TITLE : MEMBERSHIP SECRETARY
STATUS : Appointed annually at the Annual
General Meeting.
ROLE : To maintain membership records
of the club and be the official contact with BABS on membership.
MAIN RESPONSIBILITIES AND ACTIVITIES :

To set up and run a system that allows for easy input and
retrieval of membership details such as address, telephone numbers, partner,
age, date of joining the club and (eventually) leaving and details of BABS
registration numbers. |
 |
To work with the treasurer to ensure that BABS payments are
made correctly and that the treasurer and members of the Executive Committee
have member lists to ensure they can carry out their functions efficiently. |
 |
To work with the Musical Director to ensure new members are
fully involved in the club activities. |
 |
To maintain an attendance register that allows statistics
on attendance to be generated. |
 |
To maintain a visitors book in which all visits made by
people other than the members are recorded. |
 |
To arrange the ‘buddy’ system whenever a prospective singer
attends the club. |
 |
To check attendance records and with other club members
check whether a members absence is due to problems that the club should be
aware of. |
 |
To assist and give advice to any member when they need
help. |
 |
To ensure that all members have name badges to assist with
recognition on club nights and especially with open evenings and other times
when visitors are present. |
 |
To provide a report to the Annual General Meeting.

that the holder of this post have access to computer facilities for record
keeping, letter writing, address label production etc.

TITLE : PUBLIC RELATIONS OFFICER
STATUS : Appointed by the Club Executive on an
annual basis.
Ex-officio member of the main
committee
ROLE : To promote the Club and Barbershop in
general both inside B.A.B.S. and to the outside world.
MAIN RESPONSIBILITIES AND ACTIVITIES :

To act as spokesperson for the club. |
 |
To provide the media with information on forthcoming events
, reports and photographs of newsworthy activities. |
 |
To maintain a stock of B.A.B.S. promotional "Sing" leaflets
and club promotional and information leaflets. |
 |
To liase with B.A.B.S. PRO in respect of activities of a
wider interest e.g., prospective radio or T.V. appearances. |
 |
To provide Harmony Express with reports of events and
activities of interest to the general BABS membership. |
 |
To maintain the Scrap Book as a continuing pictorial record
of the Clubs activities. |
 |
While not absolutely essential, it is strongly recommended

TITLE : CHORUS MANAGER
STATUS :
Appointed by the Executive Committee.
Ex-officio member of the main committee
ROLE : To
manage sing-outs for the club and make all necessary arrangements to ensure that
all events are as professional as possible and well planned in conjunction with
the “clients”, and that the club is kept informed at all times.
MAIN RESPONSIBILITIES AND ACTIVITIES :
 |
To produce an availability sheet of chorus members willing to
participate in each sing-out so that a balanced riser line-up of parts can be
achieved and the MD is aware of the attending members for riser stacking. |
 |
To liaise with the organiser to assess the venue well in advance of the
event to aid a decision regarding the use of the risers, parking facilities,
the availability of a changing room and warm up room and to discuss the
arrangements with the client as to performance requirements. |
 |
To liaise with the club’s Riser Manager to ensure that the risers and a
riser team are available to put the risers in place for the performance and to
liaise with the riser manager for the collection and return of the risers to
the store. |
 |
To provide maps and directions for the venue as necessary. |
 |
To ensure the chorus know the times to be observed |
 |
To ensure the uniform requirements are known by the chorus |
 |
To ensure the chorus know the repertoire for the singout |
 |
To arrive early on the performance date to ensure that all arrangements
are being adhered to. |
 |
To show the MD the performance arrangements at the venue and discuss and
implement any last minute alterations. |
 |
To assist the MD with stacking arrangements and ensure that the chorus
members know in which order they are to mount the risers. |
 |
To ensure that any agreed performance fees are collected from the client
and passed to the chorus treasurer for banking.

TITLE : MUSIC DIRECTOR
STATUS : The Music Director shall be appointed by
the club executive for whatever term is agreed.
The Music Director is an ex-officio member of the
main committee and the Music Team.
ROLE : The
role of the Music Director is to coach, inspire and lead our chorus in achieving
a consistently high quality of performance, thereby increasing our enjoyment and
that of our audiences.
MAIN RESPONSIBILITIES AND ACTIVITIES :
 |
To produce with the music team, and have ratified by the
main committee a music performance plan covering an agreed term with
appropriate milestones |
 |
To direct the chorus rehearsals according to the programme
previously agreed. |
 |
To plan a sing-out programme in conjunction with the
Sing-Out Secretary and to direct the chorus at the sing-outs as well as at any
competitive performance. |
 |
To allot time each week for the assistant Music Director to
work with the chorus thus enabling him to stand in with confidence in the
absence of the Music Director. |
 |
To assist with the selection and appointment of the Music
Team consisting the section leaders, the performance coach and other
appointments as may be appropriate. |
 |
To liase and agree with the Music Team the selection and
interpretation of songs for inclusion in the chorus repertoire. |
 |
To work with the section leaders to select appropriate
quartet selection for the making of teach tapes. |
 |
To liase with and give support to those chorus members with
designated responsibilities in achieving their objectives e.g., section
leaders, choreography and craft etc. |
 |
To audition new members both for initial voice part and
also in conjunction with section leaders for full club membership. |
 |
To ensure that chorus members are constantly coached in
improving their barbershop vocal craft. |
 |
To provide a report to the AGM.

TITLE : ASSISTANT MUSIC DIRECTOR
STATUS : The Assistant Music Director shall be
appointed by the club executive for whatever term is agreed.
The Assistant Music Director is an ex-officio member of
the main committee and the Music Team.
ROLE : The
role of the Assistant Music Director is to assist and be an alternate for
the Music Director.
MAIN RESPONSIBILITIES AND ACTIVITIES :

To assist and work with the Music Director in the
achievement of agreed objectives. |
 |
To direct the chorus on the unavailability of the Music
Director at rehearsals or public performances for own-choice or designated
repertoire songs at rehearsals or public performance during teaching/coaching
sessions when requested |
 |
To contribute to the selection of songs for the chorus
repertoire. To contribute to the music performance plan |
 |
To assist section leaders with the progression of members
through to riser-qualified status. |
 |
To advise the Music Director when this would be helpful or
desirable. |
